Privacy Notice

Courtroom Coach Inc., trading as Courtroom Coach, of 19 Calumet Drive, Dix Hills, NY 11746, United States, is the data controller for the personal data described here. This notice explains what we collect, why, who we share it with, and how long we keep it.

Our role

We decide the purposes and means of processing the personal data you provide when you request access to and use Courtroom Coach, so we act as the data controller. Where you submit case material, you and your firm remain responsible for that material under your own professional obligations.

What we collect and why

  • Access request details — name, work email address, firm or agency name, bar number, and jurisdiction. Used to verify eligibility and decide whether to grant a seat. Legal basis: steps taken at your request before entering a contract, and our legitimate interest in limiting access to verified legal professionals.
  • Account and login credentials — email address and a hashed password. Used to create and secure your account. Legal basis: performance of our contract with you.
  • Credit balance and usage records — minutes purchased and consumed. Used to operate your wallet and prevent abuse. Legal basis: performance of our contract and our legitimate interest in fraud prevention.
  • Support messages — anything you send us by email. Used to answer you. Legal basis: legitimate interest in supporting our customers.
  • Technical and security data — IP address, device and browser information, and error logs. Used for security, abuse prevention, and diagnosing faults. Legal basis: legitimate interest in keeping the service secure and working.
  • Marketing communications — only where you have asked to receive them. Legal basis: consent, which you can withdraw at any time.

Case material

Briefs, motions, transcripts, and audio from an argument session stay in your browser for the length of the session and are not stored on our servers. While a session runs, the text and audio are transmitted to our AI subprocessors to generate the judge's questions, speech, and scoring. We do not use your case material to train models, and our providers are engaged under commercial API terms that do not train on the content we send; a provider may hold a request for a short abuse-monitoring window before deleting it. Redacting client identifiers before a session remains the safer default.

If you turn on the optional camera recording, the video is captured and held entirely in your browser's memory. It is never uploaded to us, never sent to a subprocessor, and never written to a server or to disk by us. You may save a copy to your own device from the bench memo screen; otherwise it is deleted as soon as you leave, reload, or close that page, and any copy you save is yours to safeguard.

Who we share data with

  • Service providers and subprocessors — hosting, database and authentication infrastructure, AI model providers used for transcription, reasoning, and speech, and error monitoring.
  • Merchant of record — Paddle.com, which sells our credit packs, manages payment, invoicing, and tax compliance, and handles refunds. Paddle collects your payment and billing details directly under its own privacy notice.
  • Professional advisers — legal and accounting advisers where needed.
  • Authorities — where required by law or to establish or defend legal claims.

International transfers

We are based in the United States, and our providers may process data in the United States and elsewhere. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as the Standard Contractual Clauses or an adequacy decision.

Retention

Access requests are kept for up to 24 months after a decision so we can administer and audit seat approvals. Account and credit records are kept for the life of your account and for up to seven years afterwards where tax or accounting law requires it. Security and error logs are kept for up to 12 months. Case material is not retained: it is discarded when the session ends or the tab closes. Anything no longer needed is deleted or anonymised.

Your rights

Depending on where you live, you may have the right to access your personal data, correct it, delete it, restrict or object to processing, receive it in a portable form, withdraw consent, and opt out of marketing. UK and EEA residents may also complain to their supervisory authority. Email support@courtroomcoach.ai and we will respond within one month.

Security

We use appropriate technical and organisational measures, including encryption in transit, hashed credentials, row-level access controls on our database, and least-privilege access for administrators.

Cookies

We use only essential cookies and equivalent browser storage to keep you signed in and to maintain your session. We do not use advertising or cross-site tracking cookies. You can clear or block this storage in your browser, but you will not be able to stay signed in.
